The main goal of the Official Web Site of the Sri Sathya Sai Baba Centre of Toronto - York is: to convey specific information about the centre itself, and the various activities that it is involved in. The target audience that the web site is trying to address, are split into two main categories: a) internal centre members and b) external community members.

In constructing a web site, it must first be determined by everyone in the centre, if it is worthwhile to have a web site to represent the centre. This can be determined by a series of exploratory meetings with the centres' office bearers and active members. This is how the decision was taken to have a web site for The Sri Sathya Sai Baba Centre of Toronto - York.

Then a team must be formed to undertake the responsibilities of constructing and maintaining the web site. As time passes you may find that the dynamics of the team may change, whereby you may need more people, or even less people to be both effective and efficient in promoting and maintaining the centres' web site.

Currently, the Sri Sathya Sai Baba Centre of Toronto - York's web site team consists of two sub-teams, made up of several youths from the centre. The Maintenance Team is responsible for the coding of any information that is placed on to the web site. The Promotions Team is responsible for ensuring the centres' email address and web site address are known to both categories of the target audience mentioned earlier.

The third step of building a web site is to search for an Internet Service Provider (ISP), to host the centre web site, which meets the needs and expectations of both the Web Site Team and the Sai Centre. It may be found that these needs and expectations may change as time passes, if this is the case, changes to a new ISP can be made at that time without to much difficulty.

Finally, all materials (i.e. text and pictures) that is to be placed on the Centre Web Site, must be collected by the team, on an ongoing basis to ensure that the Centre Web Site remains both current and enjoyable for the browsers. To ensure that this concept is understood by the Sai Centre; it is necessary to implement a formal procedure of how things will operate going forward. This formal procedure must be mutual agreed to by both the members of the web site team and the centre. This formal procedure should include the placement of a neutral person who can liase between the web site team and the centre. (i.e. Relationship Manager) The purpose behind having such a formal procedure is to eliminate any possibility of misunderstandings or confusion in regards to issues with respect to the web site.

Key areas Within the Formal Procedure that The Web Site Team has established with The Sri Sathya Sai Baba Centre of Toronto - York include:

1. How often the site will be updated and when
2. Who to contact to find out different pieces of information
3. The responsibilities the web site team has towards the centre and visa versa
4. he privileges the web site team has in updating and editing the web site, to allow a 'flow' to exist throughout the web site and make improvements to what is already existing on the web site.

Another positive which comes out of establishing a formal procedure is that it allows each area of the centre to take 'ownership' over there particular area of the centre site, and inform The Web Site Team of these plans, as opposed to The Web Site Team always advising each area of the centre what they should do with their area of the centre site, and when it would be appropriate to do so.

The Web Site Team of The Sri Sathya Sai Baba Centre of Toronto - York has asked that all areas of the centre represented on the web site give them their updates by the first Monday of the month, or as closest to that date as possible, so that the necessary additions, deletions or changes can be made as soon as is possible.
